Your first call triggers follow-up sequences. Pick the right scenario.
⚠️ ALWAYS UPDATE FIRST: Before you hang up, immediately update these 4 fields in the contact record:
- Company Name(e.g., "ABC Widgets")
- Contact Name(First + Last)
- Email Address
- Phone Number
Why? Follow-up emails reference this info (especially company name). Wrong info = unprofessional emails.

Scenario 1: Spoke with Receptionist
Receptionist gave you the owner's contact info.
Status Update: "Receptionist: Intro Email"
✅ This triggers: Warm intro email sequence (references receptionist by name)
✅ Update: Owner's name, email, phone in contact record
✅ Note: Receptionist's name in notes (we reference this in emails)
Scenario 2: Spoke with Owner (Interested)
Owner answered, interested in the solution, but not ready for trial activation yet.
Status Update: "Owner: Afterchat Demo"
✅ This triggers: Nurture sequence with calculator, case studies, social proof
✅ Action: Keep them warm until they're ready to schedule activation
✅ Note: What objection/hesitation did they mention?
Scenario 3: Nobody Answered (Voicemail)
Call went to voicemail or no answer. You left a message or hung up.
Status Update: "Nobody: Cold Opener"
✅ This triggers: 14-day cold outreach sequence (SMS + Email + Call tasks)
✅ Update contact info IMMEDIATELY: Company, Name, Email, Phone
✅ Why: First text/email sends within 2 minutes and references their company name
✅ Pro tip: The fact they missed YOUR call proves the problem we solve
Scenario 4: Not Ready for Phone (Wants Website/SEO Instead)
Owner isn't busy enough yet for the AI phone system, but wants help with website redesign or local search optimization to generate more leads first.
